Background
Federation Internationale de l'Automobile, the governing body for global motorsport and a federation of leading motoring organizations, celebrated the FIA's 120th anniversary by organizing the FIA Conference 2024 in Samarkand, Uzbekistan from 10 to 13 June, 2024. This global event brought together over 500 participants, including representatives from automobile clubs, sport federations, and associations spanning 147 countries. NAFKU (National Autosport & Karting Federation of Uzbekistan) organized the event and Delta Global Solutions was selected to manage the import customs clearance for the temporary import and re-export of two buggies showcased at the conference.
Challenge: Temporary Import of Exhibition Items for a High-Profile Sports Event
Delta Global Solutions had to handle the temporary import of the buggies into Uzbekistan and act as the Importer of Record (IOR), taking custodial ownership of the goods as there was no local importer in Uzbekistan who could accept the goods under a valid Tax Identification Number (TIN). The operation was fraught with unexpected challenges, including last-minute changes in shipment details and tight deadlines.
Solution: Importer of Record & Exporter of Record Services for Exhibition Items
Delta Global Solutions closely collaborated with the customer and the forwarding agent in Brussels to ensure all documentation for temporary import was prepared accurately and on time. By providing a tailored IOR solution, Delta Global Solutions ensured smooth customs clearance in the temporary import regime and delivery of the buggies for the conference.
Document Preparation: Delta Global Solutions prepared all necessary import documents, including commercial invoice, packing list (PL), and manufacturer’s specifications to meet Uzbekistan import requirements for importing the two buggies.
Pre-Event Planning: One week before the conference, Delta Global Solutions was ready to process the import of the two buggies.
However, our team faced unforeseen challenges:
June 5: Only one buggy arrived at Tashkent International Airport (TAS) while the second had been offloaded at the point of origin.
June 6: Our customs brokers started temporary import clearance for the first buggy.
June 7: Once the customs clearance process for the first buggy was completed, we delivered it to the conference venue in Samarkand.
June 9: The delayed arrival of the second buggy was accompanied by additional unexpected shipment. Delta Global Solutions promptly stepped in to manage both the delayed buggy and the extra cargo, working overtime throughout the weekend to ensure a swift resolution.
June 10: Delta Global Solutions completed customs clearance for the second buggy and additional equipment, ensuring all shipments were delivered on time for the conference’s opening.
Post-Event Reverse Logistics
Following the event, Delta Global Solutions managed the re-export of the buggies and additional equipment from the FIA Conference site in Samarkand back to the origin point. This included picking up the shipment from the conference site in Samarkand and preparing customs clearance documentation for re-export out of Uzbekistan. Once the shipment was declared for export customs, our air freight specialists successfully shipped the exhibition items from Tashkent (TAS) airport back to Brussels (BRU).
